Warehouse handoff documentation process
A repeatable workflow for capturing the proof package that separates warehouse, carrier, and customer-side damage responsibility.
Trigger scenarios
- Products are entering a claim-sensitive outbound handoff
- The seller needs a standard evidence packet for carrier or customer disputes
1. Prepare the handoff record
Match the order, SKU, carton ID, and shipping label so the handoff record points to one exact parcel set.
- Evidence required: Order reference
- Evidence required: Carton ID photo
- Evidence required: Shipping label photo
2. Capture package condition before pickup
Photograph sealed cartons, protective materials, and any fragile-mark handling instructions before the parcel leaves the warehouse.
- Evidence required: Sealed carton photos
- Evidence required: Packaging detail photos
3. Confirm custody transfer
Record pickup time, carrier name, and any handoff acknowledgement so later disputes have a clean responsibility boundary.
- Evidence required: Pickup timestamp
- Evidence required: Carrier handoff note
Common mistakes
- Taking photos after parcels are already mixed into carrier inventory
- Missing the shipping label or carton ID in the same evidence set
